How we look after your information.

Last updated: 23 October 2026

Who we are

P3 STUDIO LTD is a design-and-build studio working in Leeds and the surrounding area. We are registered in England and Wales, company number 17376754, and registered with the Information Commissioner's Office under ZC241083.

You can reach us at enquiries@p3studio.co.uk or on 0113 873 1533.

What we collect

When you send us an enquiry, we receive your name, email address, phone number and postcode. We also receive the answers you give about the space and how you would like it to feel, anything you write in your own words, and any photographs you choose to attach.

The form shows which details are required. We use your name and contact details to handle your enquiry, and your postcode to check whether we work in your area. Photographs and the question about how you heard about us are optional. You are welcome to call us instead.

If we arrange a visit or prepare a proposal, we also keep the property address, visit notes, measurements and documents needed for that work. If you use the private portal, we keep the choices, messages and files you send there, the records of your agreement to a proposal, and payment records. We also keep a count and the first and most recent times that the link to your portal is followed.

If you use the chat on our website, we keep the messages you send, the automated replies and any replies from our team, including conversations you leave unfinished. If you ask to speak to the team, we also keep the name and email address you give. We record the page where the chat starts and when the chat box last checks for replies, so we can continue the conversation and decide whether to reply in the chat or by email.

If you send a design from Design your room, we receive that design with your enquiry, including the room choices, layout and finishes you submit.

  • How you heard about us (optional)Why: To understand which channels bring enquiriesLawful basis: Legitimate interestsHow long: With your enquiry: reviewed 12 months after our last contact, or kept with the project file if you go ahead
  • When you would like the work doneWhy: To plan a reply and a visitLawful basis: Steps you ask us to take before a contractHow long: As above
  • Your choice about marketing emails (the box)Why: To respect your choiceLawful basis: Legal obligation (PECR) and legitimate interestsHow long: As long as we hold your enquiry; an opt-out is kept as a short "do not email" note so we never email you again
  • Marketing emails about similar P3 services (only if the box was left unticked)Why: To tell you about similar P3 servicesLawful basis: Legitimate interests, with the soft opt-in under PECRHow long: Until you opt out, or until your enquiry is deleted at the 12-month review

Why we use it, and our lawful basis

When you approach us about a possible project, we use what you send to read your enquiry, reply to it, and take the steps you have asked us to take before any contract is entered into. Our lawful basis is taking steps at your request before entering into a contract. That holds whether or not the project goes ahead.

If it does go ahead, we use what is needed to carry out that contract.

When the link to your private portal is followed, our server records a count and the first and most recent times, at most once every ten minutes. We use this to help decide whether to follow up about the project. The count is approximate: automated checks or someone else using the link can affect it. It does not confirm that you have opened the portal or read a particular update. We do not use the portal sign-in cookie to make this count. Our lawful basis is our legitimate interest in managing project communications. You can object to this use by emailing enquiries@p3studio.co.uk.

We use website chat messages and submitted room designs to answer your questions and continue the conversation with our team. Where you ask us to discuss a possible project, our lawful basis is taking steps at your request before entering into a contract. For other service questions, we rely on our legitimate interest in responding to people who contact us. We use connection counts and misuse checks for our legitimate interest in keeping the chat secure, available and fair to use.

Separately, we keep a short-lived record of recent submissions to stop the enquiry form being flooded or misused. Our lawful basis for that is our legitimate interest in keeping the form working.

If your enquiry is about buying our services and you leave the box unticked, we may email you about similar P3 services. Every marketing email includes a simple way to opt out, and you can ask us to stop at any time. We do not sell your information. A person reads your enquiry; we do not use automated decisions to decide whether to take on your project. Payment providers may carry out their own checks, as explained under Who handles it.

How long we keep it

If your enquiry does not become a project, we keep it for twelve months from our last contact with you and then delete it, photographs included.

If it does become a project, the project record is kept for six years after the work finishes. That is the period during which a claim could still be brought and during which we are required to keep business records.

We delete the portal-link count and its timestamps when the portal is switched off or your enquiry or project record is closed.

We keep website chats that are not linked to an enquiry or project for twelve months from the last message, then delete them through our retention review. If a chat is linked to your enquiry or project, we keep it with that record under the retention periods explained above. Replies sent by email are also kept under the relevant enquiry or project retention period.

You can ask us to delete something sooner. The right to deletion is not absolute, so if there is a lawful reason we have to keep something we will tell you what it is.

Who handles it

These services are involved in an enquiry reaching us and in running our system:

  • CloudflareHosts the site and our internal system, stores enquiries, photographs and project records, and counts visits to the public site through Cloudflare Web Analytics. We also use Cloudflare Workers AI to help tidy notes, draft emails, documents and proposals, sort incoming email, prepare work summaries and read receipts and supplier invoices. Information supplied to those tools can include contact details, project notes, email text and receipt or invoice contents. Cloudflare also stores website chat conversations in our system. Cloudflare Workers AI receives your website chat question, recent messages from the conversation and, where relevant, the result of our postcode service-area check, to write Ask P3’s automated replies. Our team may also use it to help draft a reply using recent conversation messages.
  • ResendDelivers the confirmation email to you and the notification to us. Resend also sends our team an alert when you ask to speak to us in the website chat. The alert includes your name, email address and excerpts from your questions.
  • Google WorkspaceProvides the mailbox those emails arrive in. Google also handles replies sent to you by email after you leave the website chat, including the relevant messages from the conversation.
  • postcodes.ioChecks postcodes and provides their map coordinates for visit planning. Our server sends the postcode, without your name, email address or telephone number.

Each handles the information only to provide that service to us. We use no advertising network and nothing that tracks you across other sites; the one visit count we use is explained under Cookies and browser storage.

Ask P3, the chat box on our website, uses Cloudflare Workers AI to answer questions about P3 STUDIO. Cloudflare is also our hosting provider. To write a reply, the service receives your question and recent messages from the conversation, which may include personal details you type. If you enter a postcode, it also receives the result of our service-area check. Some replies are pre-written, for example when AI is unavailable or a limit has been reached. Replies give general information and can contain mistakes. We do not provide project quotations through the chat; our team confirms your project’s details and price. You can choose “Talk to the team” to ask for a reply from us.

We limit AI requests to keep the chat available and prevent misuse. We count requests by conversation and by connection, and record checks for repeated, abusive or off-topic questions. To recognise a connection for these limits, our server uses its IP address to create a coded identifier with a secret key. The connection-count records contain that code rather than the IP address. This does not make the records anonymous. When a connection makes its first counted AI request of the day, we delete daily connection-count entries dated before yesterday. Old entries remain until that clean-up next runs. Counts and misuse checks held within a conversation are kept with the chat under the retention periods explained above. Chat messages and replies, including AI replies and unfinished conversations, are also kept under those periods.

One more service may be involved later, if we prepare design ideas for you:

  • OpenAI (ChatGPT)Creating design visuals for proposals.

Design visuals. To help us show you design ideas, we may share photos of your room and our visit notes with OpenAI (ChatGPT), using your reference number only. We remove location data and never send your name or address. OpenAI works for us under a data processing agreement, does not use your photos to train its models, and may process them outside the UK with the safeguards UK law requires.

Other services may be involved when we arrange a visit or you make a payment:

  • StripeProcesses online payments through its secure payment page. We send the payment amount, description and reference, and your email address where provided. You enter your payment details on Stripe's page. We receive the payment outcome and information needed to record the payment. Stripe also uses information for fraud prevention and its own legal obligations, as explained in its privacy notice. If you choose Klarna where it is offered, Klarna also handles information under its own privacy notice.
  • MapboxReceives location coordinates and journey information so we can estimate travel times for visits and show the property's location on a map in our internal system. Our server makes these requests; we do not send your name to Mapbox. Mapbox explains its handling of service data in its privacy notices and data processing terms.

One further thing happens on every page, whether or not you ever send us an enquiry. The site is set in typefaces served by Google Fonts, so your browser requests them from Google each time you open a page here, and Google receives your device's network address as part of that request. Nothing about it reaches us.

Where it is handled

Our providers may process information outside the United Kingdom.

Resend delivers our email from Ireland. Transfers to Ireland and the rest of the European Economic Area are covered by UK adequacy regulations, which treat them as offering equivalent protection.

Cloudflare and Google operate internationally and may process information outside the UK and the EEA, including in the United States. Where they do, they rely on the transfer safeguards the law requires: the UK's International Data Transfer Agreement, or the UK Addendum to the European Commission's standard contractual clauses, and where it applies the UK–US data bridge.

Stripe and Mapbox also operate internationally and may process information outside the UK and the EEA. Their terms provide for recognised transfer safeguards, including standard contractual clauses with the UK Addendum where required. Stripe also participates in the UK extension of the EU–US Data Privacy Framework for transfers covered by that scheme. If you use Klarna, its privacy notice explains where it handles information and the safeguards it uses.

You can ask us for details of the safeguards that apply to information we share, including how to obtain a copy, by emailing enquiries@p3studio.co.uk.

Cookies and browser storage

Our public pages do not set cookies. When you open your private portal, we set a cookie called p3_portal to remember your sign-in. It lasts for up to 30 days unless you clear it sooner. It is sent only over a secure connection and cannot be read by scripts on the page. The cookie is not used for advertising. The p3_portal cookie is not used to count portal openings.

If you choose to pay online, you are taken to Stripe's secure payment page. Stripe explains the cookies and similar technologies used there in its own cookies policy.

We use Cloudflare Web Analytics to count visits and see which pages are used, so we can improve the site. It sets no cookies, does not build a profile of you and does not follow you to other sites. You can turn it off for this browser in Cookie settings. We use no advertising networks, tracking pixels, tag managers or heatmaps.

We store your visit-counting choice in this browser so the site remembers it. We use that storage only for this choice.

If you begin an enquiry and do not finish it, your browser keeps your answers so the form survives a reload in the same tab. They stay on your device and reach us only when you press send. That storage is cleared when you close the tab, and this is deliberate: a phone that is shared or borrowed should not show your answers to whoever picks it up next.

While the chat is open, this tab stores a random conversation key and the number of the last reply shown, so you can continue the same chat across pages. This storage is cleared when you end the chat or close the tab.

Keeping the form from being abused

To stop the enquiry form being flooded, we count recent submissions against a SHA-256 hash of the network address they came from. The address itself is not stored. The count is discarded after an hour, and it never forms part of your enquiry or reaches the people reading it.

Your rights

Depending on the circumstances, you can ask us for a copy of the personal information we hold about you, ask us to correct it, ask us to delete it, or ask us to restrict how we use it. Where the right applies, you can ask us to give you the information you provided in a machine-readable format. You can also object to anything we do on the basis of legitimate interests.

To use any of these rights, email enquiries@p3studio.co.uk. We will respond without undue delay and normally within a month. The law allows longer in some cases, and if that applies we will tell you.

If you want to complain about how we have handled your information, email us at the same address. We will acknowledge it within 30 days and deal with it without undue delay.

You can also complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113. You can come to us first, but you do not have to.

Changes

If we change how we collect or use personal information, we will update this page and the date on it.

Website terms of use

The terms for using this site, sending us an enquiry and uploading photos.

Last updated: 23 October 2026

1. Who we are

This website is run by P3 STUDIO LTD, a company registered in England and Wales, company number 17376754. Our registered office is shown at the foot of every page of this site and on Companies House. You can contact us on 0113 873 1533 or at enquiries@p3studio.co.uk.

2. Using this website

By using this website you accept these terms. If you do not accept them, please do not use the site. These terms cover the website only. Any work we carry out for you is covered by your written proposal and contract.

3. The information on this site

The information on this site is there to show you what we do. It is general, and it is not advice for your particular home. Some images are design visualisations, and some photographs have been edited for lighting and presentation. Your proposal sets out exactly what we will design and build for you.

4. Enquiries and visits

Sending us an enquiry or arranging a visit does not commit you to a building project. The visit, the design and the proposal are complimentary. A contract only exists once you have accepted and signed a written proposal, which includes our contract terms.

5. Photos and details you send us

If you upload photos or plans with your enquiry, you confirm that you are allowed to share them. We use them to respond to your enquiry and prepare your design and proposal. If the project goes ahead, we also use what is needed to carry it out and keep the necessary project records. We will not publish your photos or plans without your permission. Please avoid photos that show people, especially children. Our Privacy notice explains how we use, share and retain personal information.

6. Our content

Content on this site may be protected by copyright and other intellectual property rights held by P3 STUDIO LTD or others. You are welcome to view the site and share links to our pages. Apart from uses permitted by law, please do not copy, reuse or publish protected content without permission from the relevant rights holder.

7. Using the site properly

Please do not misuse the site: for example, by trying to get into parts of it that are not public, introducing viruses or harmful code, or collecting content from it automatically. The studio area is for authorised P3 STUDIO users. Clients use their own private portal to view and respond to information about their project.

8. Our studio tools and connected accounts

The P3 STUDIO dashboard is a private business tool for authorised P3 STUDIO users. Access is by invitation. Any connection to a social media account must be authorised by the account holder and comply with that platform's terms.

9. Links to other websites

This site links to other websites and apps, such as Instagram, TikTok, Facebook and Google. We do not control them, and their own terms and privacy policies apply when you use them.

10. Availability and changes

We work to keep the site available and accurate, but we cannot promise it will always be available or free from errors. We may update the site and these terms to reflect changes to the site, our business or the law. Updated terms apply to future use from the date shown on this page. They do not change an existing project contract or remove rights you already have.

11. Our responsibility to you

Nothing in these terms limits or excludes our responsibility where it would be unlawful to do so, including for death or personal injury caused by our negligence, or for fraud. Your legal rights as a consumer are not affected. We are not responsible for loss or damage that was not reasonably foreseeable when you used the site, or that results from a virus or harmful code we could not reasonably have prevented.

12. The law that applies

These terms are governed by the law of England and Wales. If you are a consumer living elsewhere in the UK, this does not remove the protection of any mandatory laws that apply where you live. You may bring proceedings in the courts of England and Wales or, if you live in Scotland or Northern Ireland, in the courts there.

13. Questions

If you have a question about these terms, call us on 0113 873 1533 (Monday to Saturday, 8am to 8pm) or email enquiries@p3studio.co.uk.

Disclaimer

What is on this site. Photographs, visuals and descriptions here are illustrative. They do not by themselves set the specification for a particular project, and the site is not an offer to enter into a contract.

Design visuals. Visuals we produce during a design stage are indicative. They communicate intent (proportion, material, light, the feel of a room) rather than guaranteeing that every visible detail will appear exactly so in the finished work. Site conditions and natural variation in materials affect the result. An image does not replace the specification for anything that has to be exact.

Timescales and guidance. Anything here about how long something takes, or how a project usually runs, is a general description. Every project differs, and its own timings are agreed with you.

Our guarantee. Our workmanship is guaranteed for 12 months as standard, longer on bespoke work. This guarantee is in addition to your legal rights.

Cookies and browser storage

The public pages of this site set no cookies. When you open your private portal, we set a cookie called p3_portal to remember your sign-in, for up to 30 days; it is sent only over a secure connection and is not used for advertising. While the chat is open, this tab keeps a random conversation key and the number of the last reply shown, so the same chat carries on across pages; it is cleared when you end the chat or close the tab.

We use Cloudflare Web Analytics to count visits and see which public pages are used. It sets no cookies and does not follow you across other sites. You can turn off visit counting for this browser with the switch above. We store your visit-counting choice in this browser so the site remembers it. We use no advertising networks, tracking pixels, tag managers or heatmaps.

What your browser keeps

If you begin an enquiry and do not finish it, your browser keeps your answers so the form survives a reload in the same tab. They stay on your device and reach us only when you press send.

That storage is cleared when you close the tab, and this is deliberate. A phone that is shared or borrowed should not show your answers to whoever picks it up next.

Why there is no cookie banner

A banner asks you to accept or reject cookies. As this site sets none, there is nothing to ask. If that ever changes, this section and your choices will change with it.
